PTO Leadership Role Descriptions

Winston PTO


All Winston PTO Leaders are asked to:

  • Attend all monthly board meetings
  • Support and volunteer for all PTO events, i.e.: Family Fair, Chili Cook-off, Gala, Book Fair and Garage Sale
  • Attend MNO’s (mom’s night outs)
  • Promote a positive school image


President (time commitment: Active Aug-May)

  • Chairs monthly PTO meetings and sets agenda
  • Sets PTO calendar for year
  • Slates incoming board members in February & confirm by March
  • President letter for Winston Window
  • Submits PTO report and attends Board of Trustee meetings
  • Sets agenda and holds monthly Executive Board Meetings
  • Sets budget with Treasurer

President-Elect (time commitment: Active Aug-May)

  • Observes all business conducted by PTO
  • Assists President
  • Assumes duties of President in President’s absence
  • Must attend all Executive Board Meetings

Secretary (time commitment: Active Aug-May)

  • Keeps the minutes of the PTO meetings
  • Distributes minutes to members for approval at meetings
  • Must attend all Executive Board Meetings

Treasurer (time commitment: Aug-May)

  • Collect & receive all money
  • Financial report at each board meeting
  • Disburse funds approved by board
  • Sets budget with president
  • Must attend all Executive Board Meetings

Parliamentarian (time commitment: Aug-May)

  • Supports prior President by maintaining order and adhering to time schedules
  • Ensures PTO is adhering to by-laws
  • Must attend all Executive Board Meetings

Communications (time commitment: Active Aug-May)

  • Coordinates PTO Leadership submissions for the Winston Window, finalizes it and emails it for distribution
  • Coordinates information going to the Winston Eagle and appearing on website
  • Must attend all Executive Board Meeting


Book Fair Co-Chairs (time commitment: Jan-Feb)

  • Host a February Book Fair
  • Book Fair benefits the school library, so work closely with librarian
  • Arrange, publicize and manage all aspects such as set, break down and paperwork required

Box Tops (time commitment: Aug-May)

  • Regularly empties Box Tops from PTO mailbox
  • Readies tops for collection (w/assistant clipping events)
  • Emails Communication Chair about Box Top collections and competitions
  • Works with Dr. Sass to arrange class competitions

Gala Fundraiser Co-Chairs (time commitment: begin 1 year in advance)

  • Gala happens every 2 years start planning in off year

Garage Sale Co-Chairs (Jan-Mar)

  • Spring 1-day school wide garage sale in the gym
  • Organizes the storage and collection of donations and works with a team of volunteers to price, publicize and run the sale

Gift Wrap Sale (time commitment: Sep-Nov)

  • Arrange, publicizes and manages the fall gift wrap fundraiser

New Family Contact (time commitment: Aug-May)

  • Welcome new families to Winston by contacting them as they enter the school with a welcome letter and follow-up phone call
  • Attend all New Family coffees or dinners and Open Houses
  • Works with admissions to track new families

Spring Plant Sale (time commitment: Feb-April)

  • Arranges, publicizes and manages all aspects of the sale
  • Plants are delivered and distributed the Friday before Garage Sale
  • Might consider working with grower to sale greenery and poinsettias during the holidays and mums during the fall

Teacher Appreciation Co-Chair (time commitment: Aug-May)

  • Using a budget and a team of volunteers manage all aspects of teacher appreciation events
  • Events: honoring birthdays, Annual Holiday Luncheon, Teacher Appreciation Week, arranging the chair massages during Parent Teacher Conferences and a catered box lunch for the End- of -Year Lunch

Uniform Resale (time commitment: Aug-May)

  • Organizing the resale and collecting used uniforms
  • Host a two Uniform Resale Days. These will be held on August 21 and February 26
  • Uniforms can be sold to individuals at your convenience

Winston Cares (time commitment: Aug-May)

  • Arranges meals, flowers donations etc. on an as needed basis to Winston families who are dealing with illness, death or celebrating births

Website (time commitment: Oct-May)

  • Updates the PTO website
